OwlMinds Refund Policy

This Refund Policy (“Policy”) sets out the principles under which OwlMinds Private Limited (“OwlMinds”, “we”, “us” or “our”) provides refunds for classes, courses, plans, subscriptions, or other services purchased by the customer (“Student”, “Parent” or “User”) through our platform or authorized sales channels.

By enrolling in any program, course, class, or subscription with OwlMinds, you agree to the terms of this Refund Policy.

1. Purpose

The purpose of this Policy is to provide clarity on how refunds are processed, the eligibility criteria for refunds, and the procedures involved to ensure fair treatment of all enrolled students and customers.

2. Eligibility for Refund

To be eligible for a refund:

  1. You must be a registered student or parent who has successfully enrolled in a course, class, or subscription offered by OwlMinds.
  2. You must not have completed the entire duration of the purchased course, plan, or class bundle for which the refund is requested.
  3. Refund requests for one-to-one sessions or individual credit/class packages must be submitted within 10 (ten) days from the date of payment.
  4. Any refund request made after the specified timeframe will not be eligible for a refund, regardless of usage or attendance.

3. Steps for Refund Request Process

To initiate a refund:

  1. Submit a Written Request: Send a written refund request email to our support team on support@owlminds.com with the following details:
    • Full Name of Student
    • Registered Email and Contact Number
    • Invoice or Transaction ID
    • Program/Course Details
    • Reason for Refund Request
    • Bank / Original Payment Details (Account Holder or UPI)
  2. Mandatory Review (if any): OwlMinds may invite you for a brief review or discussion to understand your concerns before processing a refund.
  3. Acknowledgement: We will acknowledge the receipt of the refund request within 48 (forty-eight) hours upon receipt.
  4. Processing Time: Eligible refunds will be reviewed and processed within 30 (thirty) business days from the date of acceptance of the refund request, subject to verification and compliance with this Policy.

4. Refund Amount

The refund amount payable will be determined as follows:

  1. The total refund will be calculated based on the fees paid for services not yet provided as of the refund request date.
  2. Any classes already attended, subscription value for the period already consumed, or services rendered up to the date of the refund request will be deducted from the total payable amount.
  3. Refunds will be processed net of any applicable processing fees as charged by banks, payment gateways, or due to promotional offers/discounts applied at the time of purchase.
  4. For transactions done in instalments, the refund eligibility will be computed based on the date of the first instalment and all subsequent deductions applicable.

5. Mode of Refund

Refunds will be issued through the original mode of payment unless you expressly request an alternate mode in writing and both parties mutually agree.

If the original payment method is not available (for example, if the account has been closed), we may issue a refund through another bank account or payment method at our discretion.

6. Non-Eligibility and Exceptions

Refunds shall not be provided:

  1. If the refund request is made after the eligibility window specified in Section 2 above.
  2. For services or plans that have been fully consumed or completed.
  3. For trial credits, free trial sessions, referral-earned credits, or any free add-ons gifted by OwlMinds.
  4. In situations where the enrolment was terminated by OwlMinds due to violation of code of conduct, misuse of platform, breach of terms, or fraudulent behaviour by the user.

7. Limitations and Disclaimers

  1. OwlMinds shall not be liable for any delay in processing refunds caused by external factors such as banking or payment gateway delays.
  2. No interest, compensation, or penalty shall be payable on any refunded amount for such delays.
  3. Any dispute raised directly with the payment gateway (e.g., chargebacks) does not constitute an official refund request under this Policy.

8. Changes to the Policy

OwlMinds reserves the right to modify or update this Refund Policy at any time. Any changes will be posted on our website or communicated to users through appropriate channels. Continued use of our services after changes implies acceptance of the updated terms.
